How to Write Your First Grant Proposal

A beginner's structural walkthrough, plus real 2026 fee data — so you know what a proposal is actually worth before you start.

What a fundable proposal actually contains

Funders read hundreds of these. The ones that get funded almost always follow the same skeleton, in this order:

  1. Executive summary — one page, states the ask and the outcome up front. Funders decide whether to keep reading here.
  2. Statement of need — the problem, backed by data specific to the community you serve, not generic statistics.
  3. Goals & measurable objectives — objectives need numbers and a timeframe ("serve 200 families by Q4"), not just intentions.
  4. Methods / program design — exactly how the money turns into the outcome.
  5. Evaluation plan — how you'll prove it worked. Funders increasingly weight this section heavily.
  6. Budget & budget narrative — the numbers, then a paragraph explaining each major line.
  7. Organizational capacity — why your org, specifically, can deliver this.

What grant writing actually pays in 2026

Engagement typeTypical rate
Small local/foundation grant, flat fee$1,000 – $2,500
Federal or complex proposal, flat fee$5,000 – $8,000+
Hourly$50 – $150/hr depending on experience
Monthly retainer$2,000 – $6,000/mo

Note: reputable grant writers charge flat fees or hourly/retainer rates — never a percentage or commission of the awarded grant. That structure is considered unethical in the field and several major funders explicitly prohibit it.

The AI-disclosure rule most people miss

A growing number of funders now explicitly ask whether AI tools were used in drafting a proposal, and some require disclosure in the submission itself. Using Claude or another LLM to draft is fine and increasingly normal — the mistake is not knowing which funders require you to say so, and getting disqualified over an omission rather than the actual quality of the work.

The Grant Proposal Writer Kit gives you a working draft generator built for this exact structure, a master template covering all seven sections above, an AI-disclosure compliance guide (which funders require it and how to phrase it), and a client-acquisition SOP for landing your first nonprofit client.
